How To Submit a Service Request on Behalf of a Resident

Service requests are typically created by residents for work required in their unit or common areas in the community, but on occastion staff may be asked to assit in creating these requests. This user guide outlines how to submit a service request on behalf of a resident. The example below has all optional fields enabled - your view may be missing some of these fields. Contact your community manager if you have any concerns.

1. Login to Condo Control and select Service Requests from the main menu.

2. Click on Add New Service Request from the dashboard.

3. You can now complete the new service request form. Start by selecting your Request Type from the drop-down menu.

4. If enabled, select which staff group(s) the service request should be directed to and then enter the name of the resident the service request is for. You can search by unit number for the resident.

5. Community administrators may have assigned specific team members to a service request type. If so, they will be listed on the form. You can add or remove assignees as needed based on the specific details of the request.

Note: If there are assignees they will be the only staff members to receive email notifications about the request (if they are subscribed to notifications). If there are no assignees, all staff members with the relevant permissions will receive the email notifications. 6. If enabled, select when you would like an email reminder to be sent to staff members.

7. Enter a subject for the request and if applicable, select the request priority. Then write a detailed description of the request.

8. If enabled, you will see an option to provide permission to enter the unit. This may be relevant for in-suite repairs that require technicans to enter. If you have received consent from the resident, select this option.

9. Upload any relevant attachments by selecting Upload Files.

10. Some service request types may have additional custom fields that need to populated. These will be listed at the bottom of the form. Fill out any additional fields as required.

11. If service request drafts are enabled, you will have the options to either send the service request or save the service request as draft. Select the appropriate option.

12. When you send out the request, the resident and assignee(s) will be emailed and the service request will be added to the service request list.
