Asset Management FAQ

Can I set up Community Asset Types without requesting information about private assets?

Certain Community Asset Types may have an underlying object they are associated with, which is referred to as a Linked Asset. For example, a parking permit (Community Asset Type) requires a vehicle (Linked Asset). However, you can create Community Asset Types without a Linked Asset. It is a setting you can select/deselect while configuring your Community Asset Type.

Can I set up both paid and free Community Asset Types, or is it only possible to set up paid ones?

You can create both fee and paid Community Asset Types. When configuring the Community Asset Type, you will see a box that says "Free community asset type". If you select it, no fees will be charged for the Asset.

For more information on creating Community Asset Types, refer to the following guide: How to Create a Community Asset Type

When does payment processing occur?

When a request is submitted, Credit Card and EFT payments will be pre-authorized. Once the request is approved by administrators, the payment will be collected. For Credit Card payments, the status will be automatically changed to Paid. For EFT payments, the status will be changed to In-Progress until the funds are obtained, at which point the status will also be changed to Paid.

For more information on the payment process, refer to the following guide: Asset Management Request, Approval and Payment Process

What kind of recurring lease options are there?

We currently offer a one year recurring lease option. You get to choose the start date for the one year period when configuring the Community Asset Type. Each Community Asset Type can have a different start date as required. We will be adding monthly recurrence options in the future.

What payment provider do I need to use for paid assets?

We support both Zego Payments and Stripe for paid assets. For instructions on how to setup an account and connect it to your workspace, click here for Zego or click here for Stripe.

How do we handle limited inventory of an asset?

We are working on building an inventory tracking component for the Asset Management feature. In the meantime, you will have to manually keep track of your inventory. You can download a report of your asset requests at any time from the Asset Management Dashboard.

What happens to active asset requests if I disable the grace period or change the end date to an earlier one?

If you disable the grace period or change it to a past date, you will remove the grace period for any existing records upon expiration. Records currently within the grace period will have their status changed to Expired. If the new date is still in the future (just earlier than it previously was) the requests will retain their current status until the grace period end date.
