Service Requests: How To Set Up an Architectural Change Request

The Service Request feature can be used to track Architectural Change Requests/ Rennovation Requests made by Residents in the community. By default, this service request type is created in your workspace but the specific details need to be customized to align with your community guidelines and practices. This user guide outlines how to customize the Architectural Change Request type.

1. Login to Condo Control and select Setup from the Welcome menu.

2. Pick Service Requests from the main menu.

3. Click on the Edit icon beside Architectural Change Request.

You can now customize the Architectural Change Request details.

4. Add tags to the Architectural Change Request type to assist with searching. Either pick from the existing list or select Create New Tag to add a new one.

5. Enter a description for the Architectural Change Request type. This will be displayed to Residents when they create a new service request. Be sure to mention any specific information you need them to include in the request (e.g. renderings of the proposed changes).

6. Enable/Disable the following settings:

  • Allow Creation of Request - To allow residents to create service requests for Achitectural Change Requests, select Yes.
  • Allow Editing SR Type & Subject Line - If you do not want to be able to change the service request type or subject line after the request is submitted, select No.
  • Allow Residents to Reopen Closed SRs - If you do not want Residents to be able to reopen the service request after you close it, select No.

7. Determine if you want Achitectural Change Requests to require approval from staff members (e.g. PM, Board Members, etc.). If you select Yes, pick the Approvers from the list provided. 

Note: Only users with the permission "Can administer service requests" or "Can be assigned service requests" will appear on the list.

8. Select assignees for the service request. Only users with the permission "Can be assigned service requests" will appear on this list.

Note: Assignees will be the only staff members (other than Approvers) that will be notified about Architectural Change Requests. If you do not select assignees, all staff members with the permission "Can be assigned service requests" will be notified. 9. If applicable, select an Administration Group that is responsible for Architectural Change Requests. Groups that ONLY have the "Can be assigned service requests" permission will be listed. If the group has additional service request permissions, they will not be appear.

Tip: This field is intended for request types that involve groups like maintenance/ cleaning staff. These users are not community administrators and do not have full access to the feature but are responsible for specific actions (i.e. service request types) in the community.

10. Determine if payment is required for Architectural Change Requests. If so, select Yes and enter the payment amount. Once completed, select Save.

Note: Architecture Change Requests are commonly referred to as ARC, and they can be managed within a Homeowner's Association by the ACC or Architectural Control Committee.
