Welcome to the QuickBooks Online Integration demonstration. In this video we will review how to update and sync your data and illustrate how the data appears on both QuickBooks Online and Condo Control. Condo Control offers two-way sync with QuickBooks Online, meaning resident data and commerce data will sync between the two platforms.
On QuickBooks Online, resident data is listed under the Customers & Leads section. You can then select a user to view their full details. This includes information like first name, last name, and email address. On Condo Control, resident data is listed in the Unit File. Like before, you can select a user to view their details. The user’s first name, last name, email address and more will all be displayed under the User section.
Your resident data is automatically synced every night, but you can manually sync it at anytime. For example, you update Carrie’s email address on QuickBooks Online. You can then open the Unit File, select Update From QuickBooks Online from the Actions menu, and click Start New Sync. Your data will now be in the queue to sync. Any outstanding changes will be synced at this time – not just the update to Carrie’s email. The sync time will depend on the amount of data you have. Once the sync is complete, you will see Carrie’s updated email address on Condo Control.
In addition to resident data, we sync commerce data. This can be viewed by administrators under the Transactions tab in the Unit File and by residents under My Account. Here you will see any invoices and payment generated through QuickBooks Online as well as transactions from the Amenity Bookings, Store, and Online Payments feature in Condo Control.
For residents, all commerce data syncs in real-time. For example, you create an invoice for Carrie’s maintenance fees on QuickBooks Online. Once you save the invoice, Carrie can login to Condo Control, select My Account from the main menu, open the Account Balance tab, and click Get Account Balance. The maintenance fee invoice will now be listed.
Invoice payments will also be listed in real-time. For example, Carrie can select one or multiple invoices from the account balance page and click Make a Payment. This will redirect her to the online payments page. All the information will be pre-populated with the invoice details. After reviewing the payment details and amount, Carrie can enter her payment information, which in this case, is a credit card.
The payment is now complete. If you return to the account balance tab you will see the new payment on the transactions list and the account balance will be updated. Similarly, if you refresh QuickBooks Online, the new payment will appear on the transactions list and the invoices will be marked as paid.
