Welcome to the Announcements: Adding & Updating Templates overview. In this video we will demonstrate how to add an announcement template and create an announcement using a template
To get started, select Announcements from the main menu. This will open the announcements page where you can search, create, and update announcements for your building.
Begin by selecting Create New Announcement. Then, select Pick From Our Templates. You will now see a list of templates organized in alphabetical order. Condo Control has created over 30 standard templates addressing common issue. Using these templates will help simplify and speed up the announcement creation process.
You can conduct an all-text keyword search of the standard templates list, using the search bar at the top of the page. Click on a template to preview the details. If you cannot find a template for your announcement type, you can create your own. Ensure the announcement is something repeatable, otherwise return to the previous page and select regular announcement. To create a new template, select Create New Template.
Then, select the layout you would like to customize. On the new template form, enter a name for the template. Next, enter the details for the announcement. You will see a preview of the announcement details on the righthand side.
Then, upload an image for the announcement. Refer to the tool tip for a recommended image width. If you selected the other layout, upload a header image and footer image. Like before, refer to the tool tip for recommended image widths.
Next, select who can access the new template. Once completed, click Save. You will now see the new template under the custom templates tab. To revise the custom template, click on the template and select Edit. Make any revisions to the template and click Save.
To use a template for an announcement, click on the template and select Use This Template. On the new announcement form, begin by selecting your communication method. Then, if applicable, update the announcement title. This will be included in the subject line of the email notification.
Next, review and update the text in the details section. Some templates have parentheses with placeholder text for you to update. In this example, you must enter the elevator number and date and time of the elevator maintenance. You will not be able to post the announcement without updating the text in the parentheses.
After updating the details, complete the remaining fields on the new announcement form. Each of these fields is covered in-depth in subsequent training videos.
Once completed, review the announcement to ensure the details are accurate. After the announcement has been sent it cannot be rescinded, only updated, or deleted on the Condo Control system. When you are satisfied with the announcement, select Post Announcement.
Download any of the applicable reports and select Continue. You will now see the new announcement on the announcements list. If you set a future date, change the status to Future Announcements to see the new announcement.
