Visitor Parking Video Guide

Video Script 

Welcome to the Security & Concierge: Visitor Parking overview. In this video we will demonstrate how to log visitors in, create visitor parking passes and sign visitors out. 

To get started, select Security & Concierge from the main menu. From the Security & Concierge Console, select visitor parking. This will open the visitor form where you can log the visitors’ details.  If your building uses a scanner, the visitor form will have an additional Scan ID option, which will be covered in-depth in subsequent training videos. 

To log a visitor, begin by entering the unit number the person is visiting. If applicable, the buildings’ parking restrictions will appear under the unit number field. Common restrictions include a set amount of day or night passes per unit per month. If a resident has met the restrictions for the month, you will not be able to issue visitor parking.

Next, enter the visitor’s name. If the visitor has been issued a parking pass previously, select search for past visitors and either type the visitor’s name or choose their name from the drop-down menu. Only visitors that were issued parking passes will display in this section.

After you enter the visitor’s name select the visitor type. These options can be customized by building management. The default options are visitor or contractor.

If the visitor does not require parking, the last step is to add any pertinent details to the comment section. For example, if the visitor is a contractor, you might log what service they are providing. Once completed, click Save. 

If your building requires visitor signatures, a signature prompt will then appear on your screen. Capture the signature on your tablet or signature pad and click done. You will now see the logged visitor in the activity stream. Capturing signatures will be covered in-depth in subsequent training videos. 

If the visitor does require parking, check the box beside click here if visitor requires parking. You will now see additional fields that need to be populated. If you selected a past visitor, most of these fields will already be completed. You just have to enter the parking pass expiration date and if applicable, the parking spot number. For new visitors, start by entering the license plate number of the vehicle that requires a parking pass. 

Next, enter when the parking pass starts and expires. The start date and time will default to the current date and time. If you are creating the permit in advance, select edit and update the date and time accordingly. The expiration options are pre-set by building management. Some buildings default to 24 hours from the start date and time while others have different parking pass options. In this example you can select day pass only, 1 night or 2 nights. If your building assigns specific spots, you will then be asked to select a spot from the drop-down menu. Reach out to your security supervisor or property manager if you have recommendations for your building’s parking pass options.  

After determining the parking pass date and time, enter the vehicle make and colour using the options from the drop-down menus. If the make or colour of the vehicle are not listed, select other. Next, select the license plate province or state from the drop-down menu. This field will default to the province or state your building is located in.

Lastly, add any pertinent details to the comment section and click save. Much like before, you will then see a signature prompt on your screen if your building requires visitor signatures. Then, a PDF copy of the parking permit slip will automatically download to your machine. You can print the parking permit slip using the designated parking pass printer. This will be covered in-depth in subsequent training videos. 

Visitors with parking passes will automatically be signed out of the system based on the date and time entered on the visitor form. Visitors without parking, will need to be manually sign-out. To sign-out a visitor either scroll through the activity stream to find the visitor log or search for the visitor log using the visitors still signed-in filter. Once you find the visitor log click sign-out. This will reopen the visitor form and there will be a notification that visitor sign-out is complete.
