Amenity Bookings - Setup Page Overview Video Guide

Video Script

Welcome to the Amenity Bookings: Amenity Setup Page overview. In this video we will review the features on the amenity setup page and demonstrate how to link amenities and take an amenity out of service.

To get started, select Setup from the welcome menu. Then, select Amenities from the main menu. You will now see the amenity settings and a list of your building’s amenities.

In the Amenity Settings section, you can enable or disable the amenity booking feature for owners and tenants, select an image for the amenity booking landing page, select a cash payment type and enable or disable the pay later feature, which allows residents to pay for an amenity after the initial booking. If enabled, you will be asked to specify a payment date when creating an amenity.

Under the Inspection tab, you can create, edit, or delete inspection documents for the amenities. The inspection documents can be assigned to an amenity during amenity creation and inspections must be preformed using a tablet. 

To create a new inspection document, select New Inspection. Then, enter the inspection name and description and determine if residents must sign a copy of the inspection document. Next, create the inspection steps, which includes the specific areas or items that need to be checked before or after the amenity is used. Once completed, click Save. You will now see the new inspection document in the inspection list. 

Under the Amenities tab you will see a list of the amenities that have been created for your building. Select View to review the details of an amenity, Edit to revise the amenity details, and Delete to remove the amenity from the system. You also have the option to take an amenity out of service, link related amenities, or copy an amenity, instead of creating a new amenity from scratch. Creating amenities which will be covered in-depth in subsequent training videos. 

To temporarily suspend an amenity, select Take Out of Service. Then, ensure the correct amenity is selected from the drop-down menu. Next, enter the start date and time and end date and time when the amenity will be out of service. Once completed, click Next. 

You will then see a list of the amenity bookings that conflict with the designated time frame. Once the take out of service request is finalized, any conflicting bookings will be automatically cancelled.

Next, enter the message you would like included in the cancellation email. This field is mandatory. Once completed, click Submit. You will now see a summary of the take out of service request and cancellation emails will be sent for any conflicting bookings. To return to the setup page, select Back to Amenity Setup Page.

If you want to connect related amenities, select Link Amenity. Then, select the amenity you would like linked from the drop-down menu. Next, specify the link type. Block Duplicate Booking will automatically show the linked amenity as unavailable when the current amenity is booked. For example, if someone booked the rooftop patio, the BBQ would automatically become unavailable because it is located on the rooftop patio. 

Optional Booking allows the resident to book both amenities at the same time. For example, when booking Party Room 1 the resident will also be given the option to book Party Room 2 because the partition wall separating the spaces can be opened to create one large space.

If you select optional booking, you can offer a discounted or increased fee for the linked amenity in the Additional Fee section. By default, residents will be charged the standard fee for the linked amenity. Entering an amount in this field will overwrite that standard fee. For example, Party Room 2 has a fee of $200 but if it is booked with Party Room 1 the fee will be discounted to $100. 

Once completed, click Save. You will now see the linked amenity under the Current Amenity Links section. Select edit to revise the details or delete to stop linking the amenities.
