Welcome to the Unit File: Profile Badge overview. In this video we will review the profile badge settings and demonstrate how to assign profile badges.
To get started, select Setup from the welcome menu. Then, select Unit File from the main menu followed by the Profile Badge tab. Here you can customize profile badge settings and view profile badge templates. Ensure Unit File group permissions are enabled to access the profile badge feature.
To begin, enable the User Profile Badge setting. Click the Edit icon, select Yes from the drop-down menu, and click Save. Next, determine if users are allowed to print their profile badge. Like before, click the Edit icon, select Yes or No from the drop-down menu, and click Save.
If applicable, you can add administrative status notes for the badges. For example, you may want to note when a badge is lost or archived. To do so, click the Edit icon. Then, select New. Next, enter the status name and determine if you want the status set as default. Meaning the status field will be prepopulated with this option.
Then, determine if badges with this status should be considered Active or Inactive. This designation is for administrative tracking purposes and will not control whether the badge is active in the Condo Control system. Once completed, click Save. You will now see the new administrative status. To revise the status, select Edit. To remove the status from the system, select Delete. Only building administrators can see administrative status notes.
The final profile badge setting is Autogenerate Barcode. If enabled, barcodes will be automatically generated by the system for each badge. If disabled, building administrators will have to create and manually enter a barcode for each badge. Update the setting as needed.
Under the Badge Versions section, you will see the profile badge templates for your building. Only the Condo Control team can create profile badge templates.
To view a profile badge template, click the Edit icon. You will then see a preview of the profile badge and have the option to rename the template and update the template user groups. Only users in the selected groups can be assigned the template. Revise the template as needed and click Save to finalize your changes.
You can also remove a profile badge template by selecting Delete or copy a profile badge template by selecting Duplicate.
Under the Badge Scan Locations section, you can add specific checkpoints where badges are scanned in your community. To add a badge scan location, click Add New. Then, select Add New and enter the name of the location. Continue this process until all your badge scan locations have been created. Once completed, click Save. You will now see the badge scan locations.
After finalizing your profile badge settings, select the View Settings tab. Confirm that Badges has been enabled on the User Details and My Account Details page. Once completed, select Exit Setup. Then, select Unit File from the main menu.
To assign a profile badge click on a user’s name to open the User Details page. Then, select the Badges tab and click Add New. If you did not enable the autogenerate barcodes setting, enter a barcode for the badge. Then, if applicable, select a status for the badge. After selecting a status, determine if the badge is active. Users can only have one active badge at a time. Once completed, click Save. You have now assigned a profile badge to the user.
To revise the profile badge, select Edit. To make the profile badge inactive, select Delete. Before using the profile badge, users must upload a profile picture to the Unit File. Once a profile picture has been added, you can view the profile badge by clicking on the profile picture and selecting User Pass.
If you enabled printing profile badges, you can then select either Print Physical Pass to download a PDF copy of the badge. Or View Mobile Wallet to add the badge to your mobile wallet. Adding badges to a mobile wallet will be covered in-depth in subsequent training videos.
This concludes the Unit File: Profile Badge overview. For more information on the profile badge feature, please refer to our user guides.
