Video Script
Welcome to the Status Certificates: Fulfilling Requests overview. In this video we will demonstrate how to upload common documents and fulfill status certificate requests.
To get started, select Setup from the welcome menu. Then, select Payment Setup from the main menu. You must assign a payment method to the status certificate module to utilize the feature. Before returning to the homepage, ensure the applicable administrator group permissions are enabled to access the Status Certificates feature. Once completed, select Exit Setup.
From the homepage, hover over Status Certificates on the main menu. Then, select Common Documents from the sub menu. This will open the Documents page where you can add and update common documents. Common documents are sent to all users that request a status certificate for the property. If you have multiple properties in your portfolio, you can filter the documents list by property using the drop-down menu at the top of the page.
To add common documents, select Add New Document. Then, select Upload Files and choose the relevant files. Once completed, click Next. Then, revise the document title as needed, enter a description, and if applicable, an expiration date for the document. If you have multiple properties, select the specific property the common document is for. Once completed, click Save Files.
You will now see the new common document on the Documents list. To remove a document, select Delete. To review a document, select View. You can then download a copy of the document or upload a new version of the document.
After adding your common documents, fulfill your status certificate requests by selecting Status Certificates from the main menu. By default, you will see a list of status certificate requests waiting to be processed. You can sort the requests list by Order Number, Status, Date Requested, Due Date, Condo, and Unit. You can also conduct an all-text keyword search of the requests list using the search bar at the top of the page and filter the requests list by order status and condo name.
To review a status certificate request, select View. You will then see a summary of the Status Certificate Order and can either fulfill the request or cancel the request.
If you select Cancel, the status certificate fee will be refunded to the credit card on file. Check the box beside I understand that a refund will be issued and select Confirm and Cancel Status Certificate Request. The order status has now been changed to Cancelled.
If you select Fulfill Request, you will see a summary of the status certificate request and a list of the common documents linked to the status certificate request.
If applicable, upload any Unit-Specific Documents to the status certificate request. Select Upload Files, choose the relevant files, and click Save Files. You can then adjust the order of the files using the arrows as well as Delete or Rename the files.
Then, enter any comments for the buyer in the Comments box. Once completed, select Review and Finalize Request. Review the order details, attached documents, and draft email. Then, select Finalize to fulfill the order. The user will then receive the confirmation email and the status of the order will be changed to Complete.
To review your monthly status certificate financials, select Statement Of Activity from the main menu. You will then see a report of the fulfilled status certificates including a breakdown of the fees. You can filter the report by month and condo using the drop-down menus at the top of the page. To save a copy of the report, select Export To Excel. An excel spreadsheet will then be downloaded to your device.
