How to Update a Recurring Payment

Important: This feature is only available in workspaces using Embedded Payments. Workspaces using Zego or Rotessa will not have this functionality.

When a community's payment requirements change — such as updated maintenance fees or rental amounts — existing subscriptions need to be updated to reflect those changes. Rather than cancelling and recreating a subscription, administrators can revise the details directly in Workspaces using Embedded Payments. This user guide outlines how to update the amount, frequency, or next payment date of an active recurring payment subscription.

1. From the main menu, expand the Record Keeping section and select Make A Payment.

2. On the Make a Payment Overview page, click Manage Payments.

3. The Manage Payments page lists all recurring payment subscriptions for your community. Locate the subscription you want to update and click the view icon next to that record.

4. The payment details page shows the full subscription summary including Payment Status, Unit, User, Product/Service, Amount, and Next Payment Date. To revise the subscription click Update Recurring Payment in the top-right corner.

Note: This option is only available to users in the Payment Administrators group.

5. Review the current subscription details and then enter the New Amount. If applicable, select a new Frequency Type (Monthly, Every 3 Months, Every 6 Months, Yearly) and set a new Next Payment Date. Once you are satisfied with the changes, click Confirm & Update.

6. The payment details page will refresh and display the updated subscription information and a history record will be added to the subscription record to track the change.
