Video Script
Welcome to the Visitors: Logging Visitor Parking overview. In this video we will demonstrate how to log visitors in and issue visitor parking passes. Your user group permissions will dictate if you have access to this feature.
To get started, select Visitors from the main menu. This will open the Visitors page where you can log visitors and view a list of your recent visitors.
Begin by selecting either New Visitor, to log a first-time visitor, or Reuse Previous Visitor, to log a visitor already in the system. Only visitors that were issued parking passes will be listed in the previous visitor section.
If you select New Visitor, determine if your visitor requires parking. If your visitor does not require parking, enter the visitor’s name, and select their arrival date and time. If you know when your visitor is departing, enter their departure date and time. Then, enter any relevant comments about the visitor. Once completed, click Save. Your visitor has now been registered and added to the Recent Visitors list.
If your visitor does require parking, check the box beside Visitor Requires Parking. This will add additional fields that need to be populated. First, enter your visitor’s name and select their arrival date and time. Then, choose a parking pass expiration option from the drop-down menu.
The expiration options are pre-set by building management. Some buildings default to 24 hours from the arrival date and time while others have different parking pass options. In this example, you can select Day Pass Only, 1 Night, 2 Nights, 3 Nights, or Custom, which allows you to enter a specific date and time. Building management may also set limits on the number of parking passes you can issue in a week or month. If you have exceeded your set limit, you will see an error message when you save the visitor log.
If your building assigns specific parking spots, you will then be asked to select a spot from the drop-down menu. Next, select the vehicle make and colour using the options from the drop-down menus. If the make or colour of the vehicle are not listed, select Other.
Then, choose the license plate province or state from the drop-down menu. This field will default to the province or state your building is located in. Next, enter the license plate number and add any relevant details in the comments section.
If payment is not required, select Save Visitor to register your visitor. If your building utilizes paid visitor parking, select Checkout to pay for parking. You will then see a summary of the payment details. If you need time to locate your credit card or accidently leave the Visitor page, you have a 5 minute grace period to complete the transaction. Return to the Visitor page and select Review and Pay. Then, select Confirm and Pay and enter your credit card information.
Your visitor has now been registered and added to the Recent Visitors list. A PDF copy of the parking permit will automatically download to your device. To manually download the parking permit, select Print Parking Permit from the Recent Visitors list.
If you select Reuse Previous Visitor, either select your visitor from the drop-down menu or search for your visitor using the search bar. Once selected, the new visitor form will be automatically populated with their vehicle details.
Like before, enter your visitor’s arrival date and time. Then, select the parking pass expiration option and if applicable, parking spot number. Next, enter any relevant comments. Once completed, click Checkout. Confirm your payment details, click Confirm and Pay, and enter your credit card information. Your visitor has now been registered and added to the Recent Visitors list.
