This user guide outlines how to configure a new document type in the Document Catalog, the first step in setting up a Document Shop item. Document types are the items residents can view and order or purchase in the Document Shop, such as a Status Certificate, Estoppel Certificate, Form B, or any other document type your organization sells. Each document type is configured for either instant download or fulfillment, with pricing set per document.
1. From the main menu, expand Record Keeping, then Document Shop, and select Document Catalog.
2. On the Document Catalog page, use the category and workspace filters to browse existing document types, or select Add Document to create a new one.
3. The Add Document form opens with two sections: Document details on the left and Delivery on the right.
4. Under Document details, enter a Name for the document type, such as Status Certificate.
5. Add a Description so administrators and residents understand what the document is and when it is needed.
6. Select a Category from the dropdown, or type a new one to create it. Categories organize the Document Shop into headings, like Compliance or Finances, so residents can find documents faster.
7. Enter a Price for the document. Leave it at 0.00 to offer it for free; the amount is charged per item, before tax and any delivery-option surcharge.
8. If the document should expire, set an Expiry date using the calendar. Leave this field blank if it does not expire. Once a document type expires, it will be removed from the Document Shop for residents to order or purchase.
9. Under Availability, choose whether the document is available in all workspaces in the portfolio or in this workspace only. If you choose this workspace only, select the workspace from the Available in dropdown.
Note: If a document is set to all workspaces in the portfolio, any common documents you connect to it, will also be included across the portfolio.
10. Use the Available for purchase toggle to control whether the document appears in the resident-facing catalog. Turn it off if you are not ready to make it purchasable yet.
11. Under Delivery, choose a Delivery model. Instant download automatically sends an uploaded file to the resident once payment is received, so no manager action is needed.
Requires fulfillment sends the order to a manager to prepare and deliver. Select which delivery options apply to this document from the choices your account admin has configured — for example, 24-Hours, Regular, or Rush — each with its own turnaround time and any added cost. Reach out to you Account Manager if you you want to change the delivery options for your community.
12. Review all the fields, then select Save.
13. The new document type now appears in the Document Catalog, ready for residents to purchase according to the settings you configured.
