As a member of the security team, you'll use the package tracking tool to record every incoming and outgoing package directly in the system as soon as it arrives or is picked up. This keeps an accurate, searchable record for each unit and automatically notifies residents when something is waiting for them, cutting down on inquiries and lost packages. This user guide outlines how to log one or multiple packages from the web app.
For a demonstration on how to log packages, refer to the video below:
1. Select Security & Concierge from the main menu.
2. Pick the Package icon to log a new package.
3. This will launch the new package form where you can add the package details.
Tip: If you have the mobile app consider logging packages there to take advantage of our package label scanner. Refer to the following guide for more information: Mobile App - How to Log a Package
Log Single Package
4. Determine if the package is Incoming or Outgoing. Incoming packages are addressed to a resident in the building, while Outgoing packages are being picked up by a courier or another recipient.
If your select outgoing an additional field will be added for the recipient's name.
5. Enter the resident's name or unit number and select the applicable user from the drop-down menu.
The system will then show you who will be notified about the package and where those notifications will be sent (i.e. the email address or phone number).
6. Select the Courier that delivered the package or will be picking it up.
7. If available, enter the package tracking number. This field is optional but can help you locate the package later if needed.
8. Select the type of package from the drop-down menu.
9. Check the box for "package is perishable" if the item needs to be kept cool or picked up promptly, so staff know to prioritize it and send reminders if it sits too long.
10. If applicable, select the storage spot location for the package. If your community has set options they will be listed, otherwise you will see a blank text box and can enter a description. This will help staff quickly locate the package when a resident arrives to pick it up. Once completed, click Save.
The package has been logged and you will see it in the activity stream.
Log Multiple Packages
4. Select Log Multiples Packages on the new package form.
5. Enter all the package details as you did for a single package. Once completed click Save.
6. A checkmark will be added beside the package indicating it was logged successfully. You can then log the next package - the Courier and Storage Spot will carry over from the previous record.
7. Continue this process until all the packages have been logged. Close the window once your done.
You will now see the packages in the activity stream.
