How to Configure a Zoom Webhook

Clients may choose to use their own Zoom accounts when running Virtual Annual General Meetings (VAGMs). To properly integrate with our software, clients must then create a Zoom Webhook and share the provided Secret Token with their Customer Success Manager. This is essential for tracking meeting attendees, which is critical for determining quorum. Without this configuration, the attendance inside the meeting may not be accurate.

The Secret Token can be configured at either the portfolio or workspace level. If configured at the portfolio level, the token will apply to all the workspaces in the portfolio (even if a different token is added to a specific workspace). Follow the steps below to create a Webhook and obtain the Secret token.

 

How to Create a Webhook

We recommend being on the phone with your Customer Success Manager or Support while completing this process. 

 

1. Go to the Zoom App Marketplace and sign-in to your Zoom account. 

 

2. From the actions menu, select Build App.

Note: You may then be asked to agree to the Zoom API Terms & Conditions.

3. From the available options, select Webhook-Only App and click Create.

If you already have a Webhook-Only App, click on it to access its settings and skip to Step 6.

4. Enter a name for the Webhook app and click Create.

5. Complete the Basic Information and Developer Contact Information sections using your community's name and contact information. For the Links section, enter the information below. Once completed, click Continue.

Note: If your company has these policies, you can link to your own documents instead.

6. Copy the Secret Token and share it with your Customer Success Manager. You cannot proceed to the next step until the tokens have been shared/configured by our team. Do not close the web browser while waiting for confirmation.

7. After receiving confirmation from your Customer Success Manager, enable Event Subscriptions and enter the URL below in the "Event notification endpoint URL" field. Once completed, click Validate to confirm the link.

8. Expand the Authentication Header Option menu and confirm "Default Header Provided by Zoom" is selected. Then, click Add Events.

9. Select the two meeting options below and then click Done.

  • Participant/Host left meeting 
  • Participant was admitted into a meeting

10. Select Save at the bottom of the Event Subscription section and then click Continue to finalize the installation.

Your Zoom Webhook has now been created and is ready to use for your virtual meeting.

Note: When you create your virtual meeting in Zoom, ensure Waiting room in enabled.

Reminders:

- You must use the Zoom account you signed-in with to create the Webhook to host your VAGM.

- If you wish to change Zoom accounts, you will have to repeat these steps on the new account.

- Keep your Secret Token confidential and do not share it with unauthorized individuals.
