Condo Control offers multiple options for residents and staff to contact the Board through Service Requests. This guide outlines the two available methods and the key considerations when configuring this feature.
Refer to the video below for a demonstration of the service requests setup page:
Service Requests: Setup Page Overview
Option 1 - Enable Emailing the Board Setting
To use this option, navigate to Setup > Service Requests > General Settings and enable the Allow Emailing the Board setting.
This option is more public and allows residents and staff to select "Board Members" when submitting a service request. This setting will apply to all your Service Request Types, meaning residents can optfor board members to be notified on any type of request they create. When enabled:
- The requester must select from predefined group options (e.g., "Board Members," "Property Manager," or "Both").
- Notifications will be sent to the recipients in the selected group(s) as well as any assignees or approvers connected to the service request type (assuming email notifications are enabled).
Note: If assignees or approvers are already part of the selected group they will only be notified once. Refer to the following guide for more information on notifications: How to Manager Service Request Notifications - The Board Member group must have the permission "Can administer service requests" to be able to respond to the service request. Refer to the following guide for more information on permissions: How to Edit a Group and Group Permissions
Option 2 - Using a Service Request Type
For communities requiring a more private communication method, a dedicated Service Request Type called "Contact the Board" can be created. This setup allows for:
- Assigning requests to specific board members or administration groups.
- Restricting visibility based on assigned group permissions.
- Enhanced control compared to the public "Allow Emailing the Board" feature
